This Privacy Policy explains how we use the information we collect about you on the Global Workplace Information Platform ("Information Platform") and the procedures that we have in place to safeguard your privacy.


THE INFORMATION WE COLLECT AND HOW WE USE IT


In connection with our global network for the provision of insurance programmes to multinational clients in multiple jurisdictions (the "Global Network"), we may collect and store various information about you, including your name, telephone (including mobile telephone) and fax numbers, your email address and your role, both in respect of the insurance policies with which you are involved and the Global Network as a whole. Additionally, we will record the name of the company for which you work. We may also record notes of meetings, discussions or email negotiations with which you are concerned relating to the Global Network. We may also collect and store other information on the Information Platform from time to time. We will use this information to facilitate and improve contact between people involved in the Global Network and to streamline its operation. For example the Information Platform will include a contact directory of users and other relevant contacts, allow appropriate details of meetings and discussions to be recorded and disseminated and be used to improve communication and the exchange of information between interested people. If you do not consent to this information being used on the Information Platform as described in this Privacy Policy, you will not be able to participate in the Information Platform.


Information held on the Information Platform is used by RSA and its group companies, its network partners, insurance brokers and clients in connection with the Global Network. This information is made available world-wide via the Information Platform to people involved with the Global Network, including the employees, agents and subcontractors of RSA and of its group companies, network partners and insurance brokers. Consequently, this information may be accessible in countries which might not provide the same level of legal protection for personal data as that provided in your home country. For example, the information you provide to the Information Platform may not be protected by law in those countries from being freely transferable and accessible. However, RSA has taken steps including the introduction of IT security measures and contracts with third parties accessing the Information Platform to protect the information on the Information Platform. Some of your obligations in maintaining this security are explained below.


As well as the individual details we make available through the Information Platform, we may also use aggregate information and statistics for the purposes of monitoring use of the Information Platform in order to help us maintain and develop it. This aggregate information will not include information that can be used to identify any individual but we may provide it to third parties.


We may also be obliged to release the information you provide to regulatory authorities or the police, if required to do so by law.

HOW WE PROTECT YOUR INFORMATION


The Information Platform is currently hosted on a server in Charlotte, North Carolina, USA, and is accessible via the public Internet and RSA's Intranet. Access to the Information Platform is only via a unique user ID and passwords and is restricted to people involved with the Global Network. RSA has taken steps to restrict the information which is available to third parties accessing the Information Platform so far as practicable to that which is necessary for their involvement in the Global Network.


RSA has installed a system to ensure that communications between users of the Information Platform travel along an encrypted connection, commonly referred to as SSL, that uses digital server identities to help ensure that information you provide is passed only to the Information Platform. This is done using a service run by Verisign Inc., a well know certification system technology provider. When you transmit information to the Information Platform, your browser will be provided with an electronic certificate confirming that you have accessed our site and communications between you and the Information Platform will be encrypted.


Firewalls are used to attempt to block unauthorised traffic to the servers and databases and the actual servers are located in a secure location which can be accessed only by authorised personnel.


We also aim to keep your information confidential. RSA's internal procedures cover the storage, access and disclosure of your information.


YOUR RIGHTS


You have the right to object at any time, for what ever reason, to the use of your personal data on the Information Platform and to ask for it to be deleted, although this may prevent you from participating further in, or benefiting from the Global Network. You also have the right to access the information held about you by RSA and to have this information amended if incorrect. You are entitled to receive a copy of your consent to the use of this information on the Information Platform and to receive a copy of this Privacy Policy.


Your rights under relevant data protection legislation will not be affected by your consenting to the use of your data on the Information Platform and RSA will not use the information it collects about you for direct marketing.
